Scope of Services

Leoni Professional Services ("we," "us," "our") provides non-certified translation, interpretation, and administrative support services to individuals, families, and organizations in Ontario, Canada and the United States. Our services are offered in English and Spanish.

Services currently offered include, but are not limited to: document translation (Spanish ↔ English), remote and in-person interpretation, résumé and professional profile preparation, government form completion assistance, formal letter drafting, appointment booking, community resource navigation, and phone representation.

We do not provide services in any language other than English and Spanish. We do not provide notarization, certification stamps, or any output bearing official professional credentials.

Non-Certified Status — Plain Language Notice

This means that while we strive for accuracy, our translations and interpretations are not legally equivalent to those produced by a credentialed, regulated professional. The distinction matters in certain official, legal, immigration, and regulated contexts — see Section 3 below.

Contexts Where Certified Services Are Required

Our services cannot be used as a substitute for certified professional services in the following contexts. Using non-certified translation or interpretation in these settings may result in rejection, delay, or adverse outcomes for which Leoni Professional Services bears no responsibility:

• Any judicial or quasi-judicial proceeding, court hearing, tribunal, or arbitration where interpretation or translation must be performed by a sworn, certified, or court-approved professional
• Immigration applications, hearings, or appeals before the Immigration, Refugees and Citizenship Canada (IRCC), the Immigration and Refugee Board of Canada (IRB), U.S. Citizenship and Immigration Services (USCIS), or the Board of Immigration Appeals (BIA), where the relevant authority requires certified or sworn translation
• Any document required to bear an official ATIO certification stamp, notarization, apostille, or sworn declaration
• Regulated medical or clinical interpretation contexts governed by provincial or federal health standards, including but not limited to Ontario's Regulated Health Professions Act
• Any process, institution, or authority that explicitly requires translation or interpretation by a member of a recognized professional association or regulatory body
• Academic credential evaluations requiring certified translation (e.g., World Education Services, ICAS, or similar)

No Legal, Immigration, Medical, or Professional Advice

Nothing provided by Leoni Professional Services — whether written, verbal, translated, interpreted, or otherwise communicated — constitutes legal advice, immigration advice, medical advice, financial advice, or any other form of regulated professional advice.

We are not lawyers, notaries, regulated immigration consultants (RCICs), regulated immigration lawyers, physicians, or licensed financial advisors. Government form assistance is provided solely as guided completion support. The content, accuracy, and legal adequacy of any information submitted to a government authority or institution is your sole responsibility.

We strongly encourage clients to consult a qualified licensed professional for all legal, immigration, medical, and financial matters.

Limitation of Liability

To the maximum extent permitted by applicable law, Leoni Professional Services shall not be liable for any direct, indirect, incidental, special, consequential, or exemplary damages — including but not limited to loss, rejection of application, adverse immigration decision, loss of employment, financial loss, or reputational harm — arising from:

• Reliance on any translation, interpretation, or other work provided by us in any official, legal, regulated, or governmental capacity
• Submission of our work to any authority, institution, employer, or other party that requires certified services
• Errors, omissions, or inaccuracies in any translation or interpretation, where such work was requested and delivered in good faith
• Any delay, failure, or inability to perform services due to circumstances beyond our reasonable control

Our total liability to any client for any claim arising out of or relating to our services shall not exceed the amount paid by the client for the specific service giving rise to the claim.

Accuracy & No Warranty

We make every reasonable effort to produce translations and interpretations that are accurate, clear, and faithful to the source content. However, Leoni Professional Services makes no warranty — express or implied — regarding the legal sufficiency, official accuracy, fitness for a particular purpose, or completeness of any work provided.

Translation and interpretation involve professional judgment and contextual interpretation. Minor variation between source and target language is inherent to the process and does not constitute an error or breach of service.

Clients are encouraged to review all translated materials before submission and to raise any concerns with us promptly.

Confidentiality

We treat all client materials and personal information with strict confidentiality. Documents, personal details, and the content of consultations shared with us will not be disclosed to any third party except as required by law or with the explicit written consent of the client.

Client documents are retained only as long as necessary to complete the requested service, unless a longer retention period is agreed upon in writing. We do not sell, share, or otherwise distribute client information for commercial purposes.

Payment, Cancellation & Refunds

Payment. Payment is due upon completion of service unless otherwise agreed in advance in writing. For larger projects, we may request a deposit. Accepted payment methods will be confirmed at time of engagement.

Cancellations. For interpretation appointments, cancellations made with fewer than 24 hours' notice may be subject to a cancellation fee of up to 50% of the agreed rate. For retainer clients, cancellation of the retainer plan requires 7 days' written notice prior to the next billing cycle.

Refunds. Refunds for completed translation work are not available once the translated document has been delivered. If there is a factual error in a completed translation that is attributable to us, we will correct it at no additional charge within a reasonable timeframe.

Retainer Plans. Monthly retainer plans renew automatically. Unused appointments and included services within a billing period do not roll over to the following month. Overage rates apply for services used in excess of retainer inclusions and will be quoted in advance.

Governing Law

These terms and any dispute arising from the use of our services shall be governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein.

Any legal proceedings arising from or relating to these terms or our services shall be brought exclusively in the courts of Ontario, Canada, and you consent to the personal jurisdiction of such courts.

Changes to These Terms

We reserve the right to update or modify these terms at any time. Material changes will be reflected with an updated effective date at the top of this page. Continued use of our services following any update constitutes acceptance of the revised terms.
